SHEQ accounts and sign-in

You can choose a SHEQ email-and-password account or sign in with ChatGPT. SHEQ stores your name, email, verification status and a one-way password hash, never your plain-text password. Essential secure cookies keep you signed in for up to seven days. Verification and password-reset emails are sent through Resend; links expire after one hour and thirty minutes respectively. Session records and short-lived rate-limit counters may contain an IP address and browser details for security, separately from anonymous analytics. Account details remain until account deletion is requested. Existing accounts are connected only after you authenticate both methods using the same verified email; saved files, allowances and subscriptions stay attached to the original account identifier. Free job pack data

Draft content is processed in your browser. To enforce the free monthly allowance and identify the allocated job, the server records your account identifier, calendar month, project name, an anonymous job fingerprint and download timestamps. “Save on this device” uses local browser storage; “Clear draft” removes that saved draft but does not automatically delete retained SDS evidence.

Original SDS evidence

As soon as you select a supplier SDS, the original PDF is retained on that device. After sign-in it is uploaded privately to your account with the project, product, supplier, revision date, filename, file size, cryptographic checksum and creation time. A COSHH pack cannot be issued until this account retention is confirmed. Removing a COSHH item or clearing a draft does not automatically delete the retained SDS.

Only the matching signed-in account can list, download or explicitly delete its SDS files. SDS evidence is not counted toward the optional completed-PDF storage plan. It remains until you permanently delete it in My saved packs, so check your legal, contractual and company record-retention requirements first.

Saved completed PDFs

We retain a record of successful free PDF saves to enforce the cumulative ten-save allowance. Deleting a PDF removes its document content and editable draft; it does not erase its save-count entry or the revision-history reference. SDS evidence is kept separately and does not use the free PDF allowance.

If you select “Save a copy in my account” when downloading or upload an existing PDF in My saved job packs, the PDF, including any SDS appendix, is stored privately with your account identifier, project name, filename, file size and creation time. Only the matching signed-in account can list, download or delete it. A free account can hold up to 10 completed PDFs; an explicitly subscribed storage-plan account can hold up to 100. Each file may be no larger than 12 MB.

Payments and subscriptions

Stripe processes card and other eligible payment-method details on its secure checkout; SHEQ Excellence does not receive or store the full card number. For an optional storage subscription, the site records the Stripe customer and subscription references, status, stored completed-PDF quantity, trial and billing-period dates, and cancellation status. Retained SDS evidence is excluded from this quantity.

For an additional project purchase, we retain your account reference, email, project name, project fingerprint, checkout and payment references, amount, confirmation date and download counts. These records link the paid entitlement to one project; deleting a stored PDF does not delete the purchase record. Stripe processes payment details securely.

Professional enquiries

When direct review is available, you can explicitly agree to send the generated PDF, including any supplier SDS appendix, and your account email to SHEQ Excellence using its email delivery provider. The site also records a request identifier, project name, submission time and delivery status to limit duplicates.

Avoid entering medical information or unnecessary personal data. If a document is too large or contains particularly sensitive records, contact us first to agree a secure transfer method.

Contact requests and monthly support

The contact, RAMS Rescue, translation and monthly-support forms do not require an account. With your agreement, the site stores your contact details, service choice, message, preferred time and language, request reference and status. An optional PDF is stored privately for the firm owner. The firm may receive an email notification to respond; the acknowledgement on screen confirms storage, not an appointment or paid agreement. You can request access or deletion by contacting SHEQ Excellence. Please do not include unnecessary personal or medical information.

Enquiry retention and deletion

Closed enquiries without an ongoing client, accounting, complaint or legal purpose are flagged for owner review six months after closure. They are not automatically deleted. Archived enquiries and attachments remain stored privately. Records needed for another justified purpose are retained and reviewed separately. Permanent deletion removes the enquiry and its attachment from the website; email notifications and exported copies are managed separately. You can request deletion by contacting SHEQ Excellence.

Bilingual document preparation

A supplied translation is processed on your device and added to the final PDF with the declared reviewer and review date. It is sent or stored with the completed pack only if you choose review or account storage. The original English version remains first and the supplier SDS files remain unchanged. The site does not independently certify translation accuracy.

Privacy-preserving site analytics

The site records aggregate page-view counts by date and page path to understand which services are used. This measurement does not set an analytics cookie and does not store an IP address, device identifier or fingerprint. Anonymous page views are not linked to a person. When you are signed in, the site may record your current account email and display name together with first and latest activity dates so that customer service activity can be managed securely. The private owner dashboard shows operational metadata, not the contents of your stored PDF or SDS files.

The site also records aggregate action counts by date and page: service clicks, form starts, builder stages, download initiation, checkout clicks and SHEQO guidance. No form content, email, IP address or persistent visitor identifier is sent with these analytics events. Counts do not identify unique visitors or prove that a download completed. Owner activity is excluded when signed in.

SHEQO

SHEQO uses the page you are viewing and your choices in the guide to suggest a next step. It does not read your document contents or send guide answers to a server. Session storage remembers whether its entrance animation played, its invitation was shown or the guide minimised. This preference clears when your browser session ends.

Online training records

Submitting sends your name, answers, practical notes, lesson declarations, result, course version, language and date to SHEQ for a private training record. A necessary secure cookie protects access. Records expire after 12 months and are removed on subsequent service use; download your certificate now and keep the cookie to re-download. Identity is self-declared. UK and European project enquiries

The project enquiry form prepares an English email draft on your device. It does not submit or save those form details to our server. Choosing the email button opens your email app; you decide whether to send the message. If you send it, SHEQ Excellence receives the information and your email address to respond and discuss the requested service. Please do not include sensitive health or incident records in the initial enquiry.
